We explain what data we process, why we need it and what rights are available to the people concerned.

Who controls your data?

Depending on the purpose of contact and the company conducting a recruitment process or cooperation, the controller is:

Why do we process data?

Recruitment and employment

Information in a CV, email or interview is used to conduct the current recruitment process, match an offer, contact the candidate and take steps before an agreement. The legal grounds include Article 6(1)(b) GDPR, applicable law and consent for voluntarily supplied data.

Future recruitment

With separate consent, we may retain data and contact the candidate about future opportunities. Consent may be withdrawn at any time.

Enquiries and correspondence

We process message content to answer questions and manage correspondence, based on steps requested by the sender or our legitimate interest in handling enquiries.

Business cooperation

Business contact data is used to prepare offers, conclude and perform agreements, provide ongoing support, settle services and establish, pursue or defend claims.

Legal obligations

Where required, data is processed to comply with employment, tax, insurance and work or residence legalisation rules.

Website security

Technical information such as IP address, connection time or browser data may be logged to protect the website, diagnose errors and prevent abuse.

Who may receive the data?

Data is shared only where necessary, including with email, hosting and IT providers, legal, accounting, HR or occupational-health service providers, and authorised public bodies.

During recruitment, data may be shared with a user employer, client or entity for which recruitment is conducted after the candidate has received the appropriate information and where a valid legal basis exists.

If a technical provider processes data outside the European Economic Area, the transfer uses safeguards required by GDPR, such as an adequacy decision or standard contractual clauses.

How long do we keep data?

  • Current recruitment: until the process ends and for the time required to complete related obligations.
  • Future recruitment: until consent is withdrawn or the data is no longer current, within the period communicated when consent is collected.
  • Correspondence: until the matter is closed and, where justified, until relevant claim periods expire.
  • Contracts and settlements: for the cooperation period and the time required by tax, accounting, employment and social-insurance rules.
  • Technical logs: for the time necessary to maintain website security and diagnostics.

What rights do you have?

Depending on the legal basis, you may request access, correction, erasure, restriction, portability or object to processing. Where processing is based on consent, consent may be withdrawn at any time.

To exercise a right, email office@ejwork.pl. We may request information needed to confirm identity and locate the relevant data.

You may also lodge a complaint with the President of the Polish Personal Data Protection Office. Details are available at uodo.gov.pl.

Is providing data mandatory?

Providing information in a message is voluntary, but without enough information to understand the matter we may be unable to respond. In recruitment, some data may be required by law or necessary to conclude an agreement. We do not make decisions about website users based solely on automated processing, including profiling.

Cookies and technical data

The website currently uses no advertising or analytics cookies. Only technical solutions necessary for correct and secure operation may be used. Users can manage cookies in their browser settings.

If analytics or marketing tools are introduced, this policy will be updated first and consent will be requested where required.

We may update this policy when the website, services or law changes. The current version will always be available at this address.
